About the Job
Ashesi University College is looking for a skilled professional for the position of Registry Officer. Reporting to the Assistant Registrar (Academic Records), the position requires someone who has a clear understanding of academic issues, excellent communication skills (both oral and written) and a high level of organizational and interpersonal skills. The ability to accomplish multiple tasks on schedule and a strong sense of confidentiality and ethics is vital to succeed in this position.
Qualifications & Skills
Required:
- A minimum of a Bachelor’s degree
- Minimum of 2 years work experience in a similar role
- Excellent written and verbal communication skills
- Demonstrated ability in use of information technology
- Excellent time management, scheduling and organization skills
Preferred:
- Experience in using software to manage class scheduling, student data and academic records
- Experience as a university administrator providing services to and interacting with students and faculty
Duties
Students
- Input and update personal and academic records of students in the appropriate database
- Monitor students registration in FOCUS or any other software in use and report on it to the Assistant Registrar (Academic Records)
- Provide advisory services to students on course combinations that yield maximum output
- Collate information that ensures that course and graduation requirements are met
- Inform students of their performance in courses and advise on the appropriate steps as per the university’s policies
- Assist in the compilation of transcripts to be issued to students upon request
- Communicate effectively with students on new directions as per academic policies
Faculty
- Work with faculty in scheduling and timetabling for courses
- Inform faculty on the eligibility of students to be part of a class
- Assist faculty in sorting out issues relating to their classes
- Verify student enrolment for a course(s)
- Liaise with the Academic Registrar to ensure that faculty submit grades according to schedule
- Assist in providing academic background information that will help lecturers write references for students
Administrative
- Assist in the preparation of academic schedules for the semester
- Provide input for timetabling and scheduling of the use of lecture halls and other facilities
- Assist in the process of clearing students before they can take certain courses or graduate
- Assist in the management of current and updated records of students, academic records, transcripts, etc and ensure easy retrieval of such records
- Generate standard and ad hoc reports and other information as required
- Perform other related duties as assigned by the Academic Registrar
